Event and Parade Insurance

Requirements

Neighborhood Block Party – fewer than 500 participants

• No insurance required

Special Private Block Party – fewer than 500 participants

• $1,000,000 per Occurrence General Liability

Outdoor Special Event

• $1,000,000 per Occurrence General Liability
• $1,000,000 per Accident Automobile Liability (if applicable)

Parade

• Neighborhood Parade – no vehicles and less than 500 participants
  • No insurance required
• Neighborhood Parade – with vehicles, floats, walkers
  • $1,000,000 per Occurrence General Liability
  • $1,000,000 per Accident Automobile Liability
• Parade – with vehicles, floats, walkers
  • $1,000,000 per Occurrence General Liability
  • $1,000,000 per Accident Automobile Liability
• Runs and Walks With Less than 500 Participants
  • $1,000,000 per Occurrence General Liability

Insurance certificate must name the City of Fort Worth as an additional insured and have a 30-day cancellation clause.

Options for Purchasing Insurance

1. The event promoter or organization may obtain coverage through the private insurance market or
2. GatherGuard Insurance(PDF, 485KB) offered by the city, a master liability insurance policy for “Tenant Users” of city facilities. Provides coverage to the user with a $1,000,000 limit, at a cost normally less than private market. There are two purchasing methods:

   Referral Link 

   To provide renters with quick and easy access to GatherGuard, the city may post the link to its website where a renter may gain access.  With one click the renter will be placed directly in the GatherGuard application.  Using the link will bypass the GatherGuard introductory page and eliminates the need to manually enter the code.  Venue information will auto fill.

   Venue ID Code  

   When booking events, the venue or city should provide event holders with the venue ID code and URL:  gatherguard.com. 

   If you wish to add more venues just complete the attached location template and return to me. 

   • The Search for a venue feature found on the GatherGuard application is a Google Maps search. 
   • If you refer a renter to GatherGuard without pre-registering the venue, your renter will use the search feature. 
   • They will likely find the venue, but the certificate will not include the name of City of Fort Worth, nor will GatherGuard be able to email copies of documents to the city or venue.
